For professional translation purposes, a document is any structured file where accuracy of meaning matters more than creative adaptation. Contracts, financial statements, incorporation certificates, board minutes, insurance policies, shareholder agreements, articles of association. Each requires a translator with relevant domain knowledge, not just fluency in the language pair.
We work across five main categories: legal and regulatory, financial and commercial, technical and product, medical and pharmaceutical, and general corporate correspondence. Each project is assigned to a translator whose background matches the subject matter. A corporate restructuring agreement goes to a translator who works in commercial law. A pharmacovigilance report goes to someone with a life sciences background.
Translated documents are returned in the same format as received. A Word document comes back as a Word document with the original layout, tables, headings, and column structure preserved. PDF documents are returned as PDFs. InDesign files are returned in InDesign. If there are diagrams or infographics with embedded text, we flag these separately rather than delivering files with mixed languages inside graphics.
We do not charge separately for formatting work unless the document has complex design elements that require significant reconstruction. Most standard business documents are returned clean and ready to use without further editing.
Document translation is priced per word for projects above 1,000 words or at a fixed minimum for shorter documents. We provide a binding quote before work starts, so there are no surprises when the invoice arrives. If your document has boilerplate sections that appear multiple times, we apply translation memory discounts automatically.
For ongoing clients with regular document volumes, we offer retainer arrangements where a set number of words per month is covered at a reduced per-word rate. Contact us to discuss if you have a consistent translation pipeline.
Business documents are sensitive by nature. We treat all project files as strictly confidential. Non-disclosure agreements are available on request at no additional cost. We do not share, retain, or use your documents beyond the scope of the translation project. Files are deleted from our systems 30 days after delivery unless you request otherwise.
Our primary language pairs for document translation are Spanish, English, German, French, Dutch, and Italian. For other language pairs, contact us with the document and we will confirm translator availability and timeline before you commit to the project.
Yes. Scanned handwritten documents are accepted when legible. If sections are unclear, we flag them before proceeding and quote for transcription if needed. We do not guess at illegible text.
Add the Certified Translation Seal at checkout. This adds an official certification statement for use in official proceedings, immigration applications, and legal contexts. Our certified translators are registered with the Spanish Ministry of Foreign Affairs.
Yes. We can work from scanned PDFs when image quality is sufficient. For very low-resolution scans, we may request a cleaner copy or charge a small OCR fee. We will let you know before proceeding.
